Each PhishMe license includes access to Cofense’s world class customer support. In addition to ensuring proper delivery of email-based scenarios, our support team provides expert advice for implementing PhishMe, reviewing email scenarios against industry best practices, tailoring the program to an organisation’s culture, leadership, and user base, and providing assistance for new features and scenarios.

If resources are limited, organisations can also leverage Cofense PhishMe as a partially or fully-managed solution with a dedicated professional assigned to their account who creates, executes, and analyses the results of campaigns. Programs are customised for an organisation’s requirements and culture.

Onboarding and offboarding

Getting started
Free Onboarding sessions: Cofense will provide initial training to all employees who will serve as products' operators/administrators. Should the customer hire more operators/administrators, Cofense will train them on an as needed basis.
Initial training includes thorough meetings with our Onboarding or Professional Services team who will walk through all aspects of beginning your program. These training sessions are usually completed over the phone or via WebEx, but other methods may be arranged depending on the products and services that are purchased. The training includes technical steps as well as more programmatic efforts focused on developing recipient groups and a structure for a successful program.

End-of-contract data extraction
Customers' nominated administrators can download data from PhishMe as needed.  This could include recipient details, reporting results or customisations made to the base solution.

End-of-contract process
Production data is anonymised or deleted within 30 days of license expiration.  Backup data takes an additional 30 days to be overwritten. 
 
We recommend contacting our Technical Operations Center on or before the license expiration date if you wish to obtain a copy of your data.  Once the data has been anonymised or deleted, it is not recoverable.

In terms of Phishing Simulation (Cofense PhishMe), although there are over 1000 different templates to choose from, the buyer can customise the simulations and create their own from a blank canvas.

Data integrity is a fundamental feature of our ORM technology (ActiveRecord) which we update to the current stable release. Availability and resilience

Cofense has large international subscribers and assumes that they may need to use the solution throughout a given 24- hour period. As an awareness education service, the Cofense.com solution is not considered a mission critical processing service. However, our goal is to provide the Customer with online availability of the service 99.8% of the time to meet their training objectives.

Cofense has elected to use Amazon as the cloud hosting provider because thw AWS infrastructure inherently incorporates resiliency and redundancy.

"Scheduled maintenance is used for major upgrades to Cofense applications, servers, and networks on an as-needed basis. Cofense provides customers at least two weeks’ notice for any planned scheduled maintenance via email, and maintenance is done after hours. Within the Cofense PhishMe product we also provide messaging in the dashboard for operators about upcoming maintenance windows.

Users are sent an activation link where they go to create their password and setup their multi-factor authentication; a default password is not created.
 
Cofense PhishMe using Single Sign-On:

Cofense closely adheres to the Agile software development methodology, and organizes its SaaS engineering teams most broadly into software development and production engineering, with each team managed by a Scrum Master who prioritizes tickets and authorizes them for work.
- The customer will be notified of product changes and other issues both via email notification and through Cofense’s product portal.
- All development and production engineering work is managed through Cofense’s JIRA ticketing system.  Scrum Masters conduct weekly grooming sessions to review and approve tickets for work.  All deployments are controlled by that same ticketing process.
