Support levels As an established SaaS based software provider, Clearbox has a comprehensive SLA which underpins the principles of good service with a contractual commitment in how we support the application.

The key principles include -

Maintenance and upgrades: will be carried out as far as possible outside normal UK working hours to minimise disruption, and notification will be given in the lead up. A beta site will be used to test and approve upgrades before roll-out.

Support: a timed response based on the criticality of the issue with a manned help-desk during normal UK working hours and a 24/7 bug logging system.

Service Availability: provides for a 99% guaranteed up-time of application based on an ‘available hours’ calculation.

Principle Contact: to be established within each organisation with defined authorities and responsibilities.

Back-up, disaster recovery and security are also covered to best industry practice.

Behind our SLA we have established operating protocols with our team regarding how we put into operation our SLA promises.

All customers have access to our help-desk support, free-of-charge, as part of their contract and either a technical account manager or access to a cloud support engineer. Onsite support may charged at additional consultancy rates ranging from £500-£750/day.

Getting started Implementation support will depend on the size of project and whether the buyer is purchasing a basic solution or more complex functionality. It could range from one to two days training or more comprehensive implementation.

Whilst all implementations subtly differ, there are core activities that Clearbox will undertake - Help and guidance with initial project set up, Checking IT requirements and installing required software add-ons, User training as required (including a train-the-trainer approach to enable users to become self sufficient).

For a larger and more demanding project we will also support - BIM implementation planning (Employer’s Information Requirement document, The BIM Execution Plan, Agreement of standards with consultants, Model formats and deliverables, Model file segmentation strategy basing on phasing and client sub-letting options), Scope and agree the BIM deliverables, Setup Project and folder structure in BIMXtra (Grant access to the project for users, Configure schedules or load template project, Create folder structure in DMS), Monitor Progress of BIM data development (Model reviews and workshops, Field BIM form activity reviews, 4D Simulations, O&M document linking, AIM and CAFM Data export deliverables).

The service costs are on a time and material basis as it is not possible to predetermine the amount of information to be transported, a typical cost would be less than £500.00. The continuing access for a limited period of time to allow the Client to carry out necessary actions is free of charge.

Clearbox tools handle data input by the Client and use common tools then to enrich that data, the majority of the information extracted will be in its “native form”(i.e. PDF, Microsoft applications, CAD authoring tools) and can be read when extracted without need for use of Clearbox applications. However, Clearbox will provide licensed use of its applications should the Client wish to re-engage.

Clearbox will operate as a project manager for the transfer of Client data to an archive service or will continue to hold the data on a data storage charge basis and grant access to that data through Clearbox applications on a license basis.

Differences between the mobile and desktop service Our BIMXtra database and Insight model viewing application will work on Windows laptops and tablets as it would desktops. If you wish to use our mobile site forms tool, Onsite, it currently works on iOS 10,11 and 12 on both iPhones and iPads and on Android 7 and 8 on Android devices.

Description of accessibility Our web-based platform is designed around WC3 and WCAG principles. Web page titles, headings and labels describe topic or purpose and the purpose of links can be determined from the link text. Links have tooltips to guide users. The system has a time-out after 3 hours for security - The user is warned and given time to cancel. Approach to resilience BIMXtra is designed with data and system redundancy in mind through a secured access controlled gateway which is cyber essentials accredited. This includes Automated System monitoring tools with System admin alert notifications (AWS Cloudwatch), User activity logging, Two factor authentication login required for all user accounts, EEA region data centre failovers, Cryptographic protocols on all data transfers, Annual Security Checks by UK Security external 3rd Party including - Vulnerability Scanning, Security Scanning, Penetration testing, Security Auditing.
