Service constraints Data centres have annual Planned Maintenance schedules which all customers are notified of in advance. The design of the data centres is "concurrently maintainable" the result of which means maintenance work is carried out with no impact on the performance of the service or down time for users.

End-of-contract process Before contract expiry customer are contact and given the option of terminating in line with the contract or resigning the service for a further term. Should the customer chose to terminate in line with the contract then upon expiry of the contract the customer is given an agreed period of time to decommission all of their hosted hardware and physically remove it from the facility.

Approach to resilience All VIRTUS Data Centres are designed to meet or exceed UTI Tier III Standard and where necessary we have gained the certification. This design ensures all critical components are concurrently maintainable in an N+1 or 2N environment. Low latency fibre optic networks connect all data centres offering the choice of customers deploying "active/active" designs and real time replication/synchronous replication.
Outage reporting All customers are provided access to VIRTUS VIP portal, providing access to real-time reporting data on power and environmental conditions on site. In the event of any issues on-site, VIRTUS operate a robust set of standard and emergency operating procedures which include customer notifications. During the on-boarding process notification contacts are agreed and populated on VIRTUS management systems. When scheduled or emergency events then occur, notifications to the agreed contacts will be sent either by email and or phone call.

Other user authentication A unique user name and password is utilised for ticketing system and VIP access control. The ticketing system is used for raising access to site requests, delivery requests and managed hands/remote support requests only.

What the ISO/IEC 27001 doesn’t cover ISO27001:2013 consists of 114 Information Security controls. An accredited organisation is required to maintain a Statement of Applicability (SOA), detailing those controls in scope and those which are not applicable. VIRTUS is compliant and has measures in place for 112 of the 114 controls. The two that are not applicable relate to in-house software development which is not a task VIRTUS undertake.

Configuration and change management approach VIRTUS operates its change management process in accordance with standard ITIL procedures to ensure all changes are assessed, approved, implemented and reviewed in a controlled manner. Changes are classified depending on potential impact to services, then presented to the Change Advisory Board for approval. This covers Hardware, Communication Systems and Software and all documentation and procedures associated with the running, support and maintenance of live systems and Data Centre facilities.

As an ISO27001:2013 accredited organisation, VIRTUS also operate a rolling internal and external audit process to continually review risks relevant to the business and manage appropriately.

Protective monitoring approach All VIRTUS sites have security staff and engineers on site 24x7x365. Sophisticated monitoring systems are in place at each location ensuring continual monitoring of all service elements with alerting capability and rapid response in the event of any incidents. CCTV systems are in operation at all sites site-wide both internally and externally, which when combined with Electronic Access Control systems provide comprehensive protection. In the event an incident occurs, a robust set are Standard Operating Procedures (SOPs) and Emergency Operating Procedures (EOPs) are in place to ensure rapid response in all circumstances.
