How the web chat support is accessible
In addition to the comprehensive written, video and contextual help, we offer chat support to assist users with their understanding of the platform. This will often involve pointing users towards relevant sections of the documentation or a particular tutorial, to aid discoverability of the training materials.

The chat support is available on every page of the platform.

We use Intercom, a leading provider of help-desk software. This allows us to answer common questions instantly and automatically, by providing a short answer and a link to a relevant article, giving users immediate support.

If the user would still like to speak to someone, they can request and be connected to the next available member of the support team. Our support team are well-trained in the functionality of the platform, and are assisted by Intercom, which will automatically recommend relevant articles that the support team can send to users.

Onboarding and offboarding

Getting started
We will engage in a structured, collaborative process for the successful completion and handover of the TalentPool platform to the Authority.

The TalentPool platform follows the principles of the GOV.UK Design System and was developed in-line with Prince2 best practice and agile development processes.

We will define product requirements and the scope of the implementation. We will conduct meetings with key stakeholders, particularly individuals who will be the end users of the platform, to define day-to-day use. From this series of use cases, we will produce a set of product requirements.

In the delivery phase, we will work across the ‘build’ and ‘integrate’ workstreams to complete the activities defined in the project plan. In an agile programming style, there will be constant interactions with users. Interim stages of the platform adjustments will be frequently presented to and discussed with the Customer, to elicit constant feedback and ensure requirements compliance.

The handover phase will focus on developing understanding of the platform and its utility within the Customer’s organisation, and making sure operating processes are in place so that the use of the system is embedded in the day-to-day recruitment activity of the Customer and meets their SLA requirements.

End-of-contract data extraction
As part of end-of-contract extraction data can be transferred using the standard ETL process. The required data would be extracted from the TalentPool databases and transformed into the required structure and format. The data will be loaded into the target system securely through a HTTPS API call as JSON or XM and could optionally be encrypted in transit for additional security.

If the Authority does not have an API, the extraction process could involve the output of the data in the required structure and format as a file (e.g. an XML, CSV or JSON) to be imported directly into the Authority's system(s).

We will work closely with the Customer to ensure a successful end-of-contract data extraction.
End-of-contract process
In accordance with the terms of the contract, TalentPool will develop and agree upon an exit plan, listing all processes required to successfully manage the exit of TalentPool from performing its service.

With over 80,000 candidates registered since its launch in 2013, the TalentPool platform provides a proven and robust way to efficiently sign Workers up, match them to roles, and allow them to make and manage applications.

The platform follows the principles of the GOV.UK Design System, and user experience has been refined based on the feedback and user testing from hundreds of Workers.

What users can and can't do using the API
TalentPool has been built with flexibility as a core principle, enabling us to adapt to the systems and processes used by our Customers.

E.g. if the Customer uses an Applicant Tracking System (ATS) that supports API calls, the applicant can be directly uploaded to their ATS for review.

Any activity can be segmented by channel. This information is available to the Customer via the management dashboard. The information can be downloaded as a CSV or sent to third-party tools via an API.

Management Information is available as an output from the system as a file in any open format the Customer requires such as JSON, XML or CSV. This will ensure that the data can be analysed by Microsoft Office software or similar packages. We can import any of the data into Google Sheets through an API.

The process of integrating the TalentPool platform into the Customer’s systems (e.g. FMS) will be planned for and delivered during the implementation phase, based on the Customer’s technical and business requirements. Our tech team has experience working with a number of third-party APIs from providers such as Google, Slack and PayPal.

The TalentPool platform follows the principles of the GOV.UK Design System and was developed in-line with Prince2 best practice and agile development processes.

To mitigate against hardware or site failure, our platform is hosted across load-balanced production servers located in multiple Tier 3 data centres and operated by an ISO 27002 and 27001 certified company, G Cloud approved, and hosting provider to DfT, Cabinet Office and the MoJ.
