Planning service
How the planning service works
Our Professional Integrated Approach and Services Delivery Model works alongside the Client Success Roadmap and takes a 4-step approach to ensure the project is a success whilst minimising risk to all parties as the project proceeds:
1.Discovery Workshop: a free 1/2day workshop is completed to introduce SharpCloud and start to understand the “why”. This is includes completing a SWOT workshop using Roelto Workshop-as-a-Service powered by SharpCloud and produces a high-level roadmap/plan.
2. Proof of Concept: this takes 4 to 6 weeks and includes capturing User Requirements, developing a high-level concept solution design and a component (one story) to validate benefits.
3.Pilot / Phase 1: using Roelto agile SharpCloud Deployment Methodology (SCDM) a backlog of tasks to complete will be created along with a high-level roadmap/plan. The work will be completed in 1 to 2 weeklong sprints with 3 iterations followed by a soft launch and then a Go Live. This process is repeated until the agreed backlog has been delivered.
4. Support - After Go Live the solution will go into support. Two types of support are provided, first is the SharpCloud service support and the second is the actual solution support. Refer to the service levels for more details.

How the training service works
SharpCloud and ISO 44001 Collaboration Training is provided.

SharpCloud Training - Training on how to use VCSL user cases and standard SharpCloud functionality is provided either as part of set up/deployment for both users and administrators with supporting documentation. This can be delivered onsite or online, supported with training documentation.
Additional training content can be accessed online via Roelto website and YouTube to view "How To" videos
Access to the SharpCloud Academy a Learning Management System provides online SharpCloud training from Beginner to Expert status is also included when a SharpCloud Subscription is purchased.
Tailored training courses can be produced and delivered on request.

ISO 44001 Collaboration Training - Two standard training modules are provided. The one day training includes an introduction and overview to ISO 44001 and introduces keep concepts and how collaboration can be applied within your business and business partners. The 2 day includes the one day agenda and on the 2nd day focusses on creating your corporate Relationship Management Plan (cRMP), which includes completing an initial gap analysis. In both training modules an introduction to Roeltos Collaboration-as-a-Service (CaaS) which shares a typical Collaboration Transformation Roadmap and the activities you may need to undertake.

How the setup or migration service works
As part of our Integrated Transformation Approach the following ongoing steps are completed alongside specific implementation project activities listed within the project Work Breakdown Structure as specific Work Packages.1. Agree the change - starting with the Project Setup and why we are migrating data. It defines the current As Is and the future To Be and where necessary initiates a formal Change Plan Document.
2. Agree the Urgency - data migration work is scheduled and prioritised in terms of Collecting, Storing, Reporting, Deciding, Distributing and Disposing of data.
3. Negotiate the Change - creating and agreeing core data model within SharpCloud (data attributes) and mapping with data from other sources requires an agreed data governance approach and principles using ISO 38500 to the governance of data. A data dictionary is created and controlled to manage the use of data.
4. Validate adoption - verifies that appropriate training and support is provided for the organisation and people to ensure they have the right behaviours to complete the data migration and governance processes.
5. Verify performance - measure the benefits and outcomes of a successful data migration and established KPIs to ensure the integrity, quality and timeliness of the data is maintained.

How the quality assurance and performance testing works
Within the R-SCDM methodology the daily stand ups include an "inspect and adapt" cycle to verify the product is working and delivering the backlog features and outcomes specified in the Story/URS. This iterative cycle ensure quality and functionality are being built in and constantly being reviewed. The Team ensures they build the solution right, whilst End Users are engaged throughout the sprint cycles, participate in the testing and provide feedback to the team.

Where appropriate more formal User Acceptance Testing, System Integration Testing can be completed based on a risk based assessment and criticality of the solution. This will include written test scripts/protocols, agreed acceptance criteria with written reports and conclusions.

Test Incident management is included along with continual lessons learnt to support continuous improvement for future sprints and projects.

Service constraints
Roelto is a London based organisation and will complete most of the work virtually using online collaboration tools. Travelling to other locations has to be planned and organised.

Integration into other systems and applications may require additional 3rd party support. This will be identified at the beginning of any project.

Support is provided via the online Roelto External Service Desk, Monday to Friday except UK Bank Holidays between the hours of 9am and 5:30pm

Level 1 Support: Questions, issues, support and service requests related to a purchased VCSL and delivered SharpCloud and ISO 44001 collaboration service can be raised on the Roelto External Service Desk. Online support will be provided and excludes any additional configuration, set up or modification to the installed solution(s). Level 1 support is free to current Roelto clients and will be responded to when service support is available.

Level 2 Support is provided as an additional cost and can include additional consulting, configuration and maintenance days and can be provided upon request. Level 2 Silver includes Level 1 support and will be responded within 24 hours or less, during UK working hours 9am to 5:30pm Monday to Friday, excluding UK bank holidays. Consulting, configuration, and maintenance support is limited to 1 day per month.

Level 3 Support is provided as an additional cost and can include additional consulting, configuration and maintenance days and can be provided upon request. Level 3 Gold includes Level 1 support and will be responded within 8 hours or less, during UK working hours 9am to 5:30pm Monday to Friday, excluding UK bank holidays. Consulting, configuration, and maintenance support is limited to 1 day per month.
